A&A Data Integrity Guidelines

These guidelines are in addition to the UW guidelines as published here:

 https://itconnect.uw.edu/work/appropriate-use/#protect

Please Note: It is important that you review your data storage usage on a regular basis in order to comply with all regulatory requirements based on the type or purpose for the data being stored. HIPPA and FERPA data, as well as any data that is controlled by a regulatory requirement from an industry partner or the Federal Government *MUST* be securely stored on systems that meet those requirements and are fully certified as being compliant. This is an on-going requirement for the storage of this type of data.

In order to access information from an on-campus source when you are off-campus, you MUST use the UW provided VPN (Virtual Private Network) software HuskyOnNet: https://itconnect.uw.edu/connect/uw-networks/about-husky-onnet/use-husky-onnet/

The purpose of the VPN client is to encrypt ALL of your data from end-to-end from off campus (as well from on campus if desired) to protect your login information as well as any data/information that you may be working with via the Internet. This is also the key first step in the process of Remote Desktop from off campus.

No data/information should be stored on the hard drive of your devices. All data/information MUST be stored either in the ‘cloud’ (via One Drive, Google Drive, DropBox, etc.) or stored on UW provided storage (the storage solution that is provided to the department that is managed by UW-IT Windows File Services (WFS) that is backed up on a daily basis both on-site and off-site).

Since none of our workstations or laptops are being backed up in any meaningful way, all local data/information that may be saved and stored on a local hard drive is at risk of being destroyed by a hardware failure or theft.

Any questions concerning data security or ensuring you have access to the proper servers to store your data should be directed to David Wilson at davidrw@uw.edu or to aatech@uw.edu
