Microsoft Teams

We use MS Teams in order to complete tasks and communicate between all the Front Desk Assistants as well as the staff in the 211 suite.

4 important functions for Teams:

  1. Front Desk Passdown Chat

    1. Located in: sidebar→ Teams → A&A Front Desk → Front Desk Passdown

    2. Used to summarize any tasks or notes that were given during your shift that all of the office assistants should be aware of. 

    3. Complete this at the end of your shift each day or as needed.

  2. Chat

    1. Key Chat Strings 

      1. Desk Assistants Only (Office Assistants)

      2. Front Desk (Office Assistants + Kim & Amy)

      3. Main Suite (Office Assistants + Rachel, Kim, Amy, Khalid, Jordan, Kam, Catherine)

      4. Package Process Team (Office Assistants + Khalid)

    2. Individual Communication 

      1. You can use Teams as a form of communication less formal than email and for quick responses.

  3. Tasks

    1. Located in: Sidebar → 3 dots → Tasks by Planner… → A&A Front Desk → Tasks (General)

    2. This is where specific tasks are assigned generally as well as to each individual office assistant.

    3. You can also add in verbal tasks that Kim, Rachel, Amy or others may assign to you.

    4. To learn more about the task, you click on it to see who has assigned it, the priority, start/due date, progress, as well as notes and comments

    5. When a task is completed → change the progress to “completed”
